Plain English Version
We know you're trusting us with information about your family. As a parent-run nonprofit, we're not in the business of collecting data for its own sake. We use what you share with us for one purpose: running a band program well, which means coordinating volunteers, tracking dues and fees, and keeping families in the loop. We don't sell your information, and we try to be thoughtful about what we make public versus what stays inside the Members Area. If you ever want to know what we have on file, or you'd rather we not share a photo of your student, just ask — we're volunteers too, and we'd rather get this right than be defensive about it. Monarch Bands Boosters ("MBB," "we," "us," or "our") operates monarchbands.org (the "Site"), including its public pages and password-protected Members Area. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to parents/guardians, students, and other visitors who use the Site.

1. Information We Collect
Information you provide directly:

Account registration details (name, email, phone, mailing address) for parent/guardian members and for students who hold their own Member account.

Student information submitted for rosters, ensembles, volunteer tracking, and event sign-ups (e.g., student name, grade, instrument).

Payment-related information when you pay fees or make purchases (processed by our payment processor — we do not store full card numbers ourselves).

Content you post, such as blog comments, Wix Groups posts, photos, or volunteer sign-up entries.

Basic usage data via Wix's built-in site analytics (e.g., pages visited, general location, device/browser type).

Similar usage data via Google Analytics (or a comparable analytics tool), used to understand site traffic and improve content.

We do not knowingly collect information directly from children under 13 in a manner that would trigger COPPA. Monarch High School students using Member accounts are generally high-school-aged (13+); if a younger sibling or family member's information is shared, it is provided by a parent/guardian on their behalf, not collected directly from the child.
2. How We Use Information
We use the information above to:

Operate the Members Area, including login, role-based access, and member-only content.

Process and track membership fees, ensemble fees, and other payments.

Send communications related to band activities, fundraising, and volunteer needs.

Comply with legal obligations and protect the safety of our members and students.
We do not sell your information, and we do not use student information for advertising.

We only share what each service needs to perform its function for MBB, and we expect each provider to handle data securely and in accordance with its own privacy terms.
4. Photos and Student Content
Band activities are often documented through photos and videos shared on the Site, in Wix Groups, or in newsletters. We make reasonable efforts to:

Only feature student photos/names in a manner consistent with parental expectations and school district norms.

Honor opt-out requests from any family who prefers their student not be pictured or named in public materials — contact us at webmaster@monarchbands.org to opt out.

Restrict certain content (e.g., detailed rosters) to the Members Area rather than public pages.
5. Your Choices

Access/correction: You can review and update your account information through the Members Area, or contact us for help.

Communication preferences: Where available, you can manage which types of communications you receive (e.g., via profile email settings or by unsubscribing from email campaigns).

Cookies: Most browsers let you block or delete cookies; doing so may affect login persistence or some site features.

Account deletion: You may request deletion of your account and associated personal data by contacting us, subject to our need to retain certain records (e.g., financial/payment history) for legal, accounting, or nonprofit reporting purposes.
6. Data Retention
We retain personal information for as long as needed to operate the Members Area and fulfill the purposes described above — generally for the duration of a family's involvement with the band program, plus a reasonable period afterward for alumni communications and financial recordkeeping. Financial records are retained as required by accounting and tax obligations.
7. Data Security
We use reasonable administrative and technical safeguards appropriate for a small nonprofit — including role-based access controls in the Members Area and reliance on reputable, established platforms (Wix, Stripe, QuickBooks) for sensitive functions.
No system is perfectly secure, and we cannot guarantee absolute security of information transmitted online.
8. Children's Privacy
This Site is intended for use by parents/guardians, high-school-aged students involved in the Monarch High School band program, and approved community volunteers. We do not knowingly collect personal information directly from children under 13. If you believe a child under 13 has provided us information directly, please contact us so we can address it.
9. Changes to This Policy
We may update this Privacy Policy as our practices or tools change. The "Last updated" date at the top will reflect the most recent revision. Material changes will be noted on this page.
